This statement explains how Oddspark Studio handles information collected through this website and initial project enquiries. What we collect and why

We collect the information you provide, such as your name, email, optional phone number, business details, project brief and correspondence. Property requests can include an address, agency, treatment preferences and a private photo-folder link. We use this information to answer you, clarify requirements, prepare a quote and manage any work you subsequently agree to.

Our website and security providers also process technical information such as IP addresses, request information and security-check results to operate and protect the site. Required fields are marked on the forms. You may choose not to provide information, but we may be unable to respond or assess your request without the necessary details. You can contact us by email instead.

Who processes information

We use service providers to host and protect our website, deliver enquiry emails and store business correspondence. These providers process relevant information to support those services and may operate outside New Zealand. Enquiries are delivered to our business inbox at [email protected]. We do not store enquiries in a separate website enquiry database. Email providers and hosting or security systems may hold messages, delivery records or technical logs.

A private folder link remains subject to the folder provider’s permissions and terms. If you later agree to a project requiring other tools or providers, we will discuss relevant arrangements with you. We may also disclose information where authorised or required by law.

Project information and photographs

Please share only information and material you are authorised to supply, and limit it to what is needed for the project. Do not submit passwords, identity documents or sensitive customer records through the enquiry forms. Portfolio use of client work is a separate matter to agree with the client; an enquiry is not permission to publish it.

AI-assisted enquiries

The website enquiry endpoint forwards requests by email; it does not itself send form submissions to an AI model. An AI-assisted inbox workflow is being developed separately. Before introducing new AI processing of personal information, we will explain the relevant purposes and providers and assess the necessary privacy arrangements. This statement does not promise that third-party systems retain no information.

Retention and security

We retain information only as long as needed for the enquiry, agreed services, record-keeping obligations or resolution of issues. Our retention schedule is 12 months after the last substantive contact for unsuccessful enquiries and 90 days after delivery for working photo files. We review records for deletion at those points; deletion is not currently automated. Records needed for tax, an active project, a complaint or a dispute may be retained longer. Provider logs and backups can follow their own retention arrangements. Keep your own copy of delivered files; this is not a long-term archive service. Contact us to discuss information you no longer want us to hold; legal or legitimate record-keeping requirements may prevent immediate deletion of some records.

We are responsible for taking reasonable steps to protect personal information. No internet or email service can guarantee absolute security. If a privacy breach occurs, we will assess it and meet applicable notification obligations.

Your choices and rights

You can ask to access or correct personal information we hold about you, or raise a privacy concern, by contacting [email protected]. We may need to verify your identity before releasing information. An enquiry does not subscribe you to a marketing mailing list. If you are dissatisfied with our handling of a privacy matter, you can contact the Office of the Privacy Commissioner.

Changes

We will update this statement as our services and information handling change. A policy update alone does not authorise an unrelated new use of information already collected.
